Registration includes:
- Registration and meeting costs
- On-site accommodation (3 nights) in a shared double room (some single available)
- All meals and coffee breaks during the conference
- Gala dinner
- Bus transfers from/to Pisa airport
- Group excursion (additional excursion costs may apply depending on the number of participants and will be communicated during the meeting)
Payment
Payment details will be provided by e-mail to selected participants. Your spot at the conference will only be confirmed after payment of the registration fee. Participants will have the possibility to pay online. Accepted payment methods include credit card and bank transfer.
Cancellation Policy:
Refunds after payment will not be possible by default. Any refunds will be made at the discretion of the organisers based on the possibility to substitute the cancellation from a waiting list.
Cancellations due to visa denial (with documentation) will be considered for refund at the organizer’s discretion.
A replacement participant can be appointed free of charge if the organizers are notified at least 7 days before the workshop.
Selection criteria
Applicants will be selected based on their motivation and/or quality of the submitted abstract, as previous meetings have been over-subscribed. Selected participants will be notified by 27/01/2027 and invited to proceed to payment.
Applicants are invited to submit an abstract describing the work they wish to present. A total of 20 abstracts will be selected for oral presentations. Every participant is expected to provide a brief statement explaining their motivation for joining the meeting.
All submitted abstracts will be reviewed by the Scientific Committee and evaluated for scientific quality, novelty, and relevance to the workshop's thematic sessions. Depending on the review outcome, abstracts may be selected for an oral presentation, poster presentation, or flash talk. The committee also aims to ensure a balanced and diverse group of participants across career stages, gender, geographic regions, and scientific disciplines, with particular consideration for early-career researchers.
Applicants who do not wish to present at the meeting (for example because members of their lab are presenting) should not submit an abstract and should complete only the short motivation statement.
Abstract guidelines
Please provide a title, list of authors and affiliation. The length of the abstract should not exceed 300 words, excluding the title and author affiliations.
Poster specifications
Please bring one printed copy of your poster. Poster dimensions must correspond to portrait DIN A0 format. Dimensions are: 1189 mm x 841 mm (46.8 in x 33.1 in).
Travel grants and registration fee waivers
Travel grants and registration fee waivers are available for participants.
Selection of awardees is handled directly by the organizers. EMBO travel grants and registration fee waivers are allocated on the basis of the quality of the submitted abstract.
Applicants do not need to apply separately for these but should indicate on the registration form if they wish to be considered.
Additional travel grants are available for EMBC Associate Member States Chile, India, Singapore and Taiwan.
Child care grants
EMBO Courses and Workshops offers grants to offset additional childcare costs incurred by participants or speakers when participating at any EMBO Courses and Workshop funded meeting. Eligible costs include fees for a caregiver or child-care facility, travel costs for a caregiver, or travel costs for taking the child to the meeting etc. Please indicate on the registration form whether you would like to be considered for the grant. Please also describe how you intend to use the childcare grant and specify the sum that you will need.
Accessibility grants
EMBO offers accessibility grants to support participants at EMBO Courses & Workshops with any access needs. These grants cover up to 500 euros for any additional costs e.g. to adapt the conference environment, or to be accompanied by someone to assist them where necessary.
Participants with access needs may apply for a grant via the registration system of the related EMBO event, or by emailing the organizers of the related EMBO event directly.
