Cancellation policy
Confirmation Deadline
- Selected participants will be notified by 21 April 2025.
- Participants will confirm by email their attendance within 7 days of notification (by 28 April 2025).
- Failure to confirm by this deadline will result in automatic cancellation, and the spot will be offered to a participant on the waiting list.
Cancellation Fees
- Once attendance is confirmed:
- 50% cancellation fee applies for cancellations made before the payment deadline (12 May 2025).
- 100% cancellation fee applies for cancellations made after the payment deadline.
Exceptional Circumstances
- The cancellation policy applies universally but may be adjusted on a case-by-case basis for participants requiring specific arrangements (e.g., visa processing) or due to serious unforeseen circumstances.
Selection criteria
Applicants will be selected based on the following materials:
- Motivation Letter: This should outline the candidate’s interest in the course, including their goals and how they hope to benefit. The letter should highlight the expected impact of the course, explaining how the new techniques could enhance ongoing projects or support the adoption of advanced methods within their imaging facility.
- Professional CV: A brief, structured CV outlining the candidate’s scientific/professional background, including the microscopy techniques they routinely use.
- Poster Abstract: A description of their own scientific project(s) or, for those without a specific project, an overview of techniques or approaches commonly used in their lab.
Abstract guidelines
- Language: The abstract must be submitted in English.
- Content: The abstract should describe the candidate’s project and/or clarify the methodological approach, with an emphasis on microscopy techniques.
- For candidates without a scientific project (e.g., facility staff or company representatives), while the poster is mandatory, the abstract should describe ongoing techniques or approaches frequently used in their lab.
- Word Limit: The abstract should not exceed 400 words.

Maximal dimension for the poster is A0: height: 841 mm, width: 1189 mm
Travel grants and registration fee waivers
Travel grants and registration fee waivers are available for participants.
Selection of awardees is handled directly by the organizers. EMBO travel grants and registration fee waivers are allocated on the basis of the quality of the submitted abstract.
Applicants do not need to apply separately for these but should indicate on the registration form if they wish to be considered.
Additional travel grants are available for EMBC Associate Member States Chile, India, Singapore and Taiwan.
Child care grants
EMBO Courses and Workshops offers grants to offset additional childcare costs incurred by participants or speakers when participating at any EMBO Courses and Workshop funded meeting. Eligible costs include fees for a caregiver or child-care facility, travel costs for a caregiver, or travel costs for taking the child to the meeting etc. Please indicate on the registration form whether you would like to be considered for the grant. Please also describe how you intend to use the childcare grant and specify the sum that you will need.
Sustainability measures at the meeting
Accessible Venue
The course will be held at a centrally located venue with excellent public transport connections, close to major transport hubs to minimize travel impact.
Eco-Friendly Hydration
No bottled water will be provided. Participants will have access to tap water served in reusable jugs.
Elimination of Single-Use Items
The event will avoid single-use wares, including disposable cutlery, cups, plastic bottles, and cans.
Sustainable Travel
- Four speakers/organizers traveling within Europe will use train travel instead of flights.
- Overseas invited speaker from California will give her talk remotely, avoiding long-haul travel emissions.
Incentives for Train Travelers
Participants traveling to the event by train will receive 100 EUR discount on registration fees as a reward for choosing sustainable travel options.
Locally Sourced Meals
Catering will prioritize meals sourced locally, emphasizing fresh and minimally processed foods to support local producers and reduce carbon footprints.
